Primary Responsibilities
- Provide administrative and secretarial support to the Pastor and Parochial Vicar
- Create and edit the weekly parish bulletin.
- Prepare altar announcements, petitions, and Mass intentions for weekend and Holy Day Masses.
- Coordinate wedding preparation information, including communication with couples, manage FOCCUS scheduling reporting, and able to maintain accurate and detailed recordkeeping.
- Create schedules for Eucharistic Ministers and Lectors and maintain accurate contact list.
- Coordinate liturgical minister schedules for Lent, Easter, and Christmas.
- Coordinate with ushers for special events and parking needs.
- Assist with Altar Server scheduling
- Maintain the Communion Call list and arrange Eucharistic Ministers for home visits.
- Create and coordinate Advent and Lent Communal Penance Services.
- Coordinate Spring and Fall Mass Counts.
- Ensure accurate data entry for the annual diocesan Kennedy Report.
- Assist with organizing the Annual Golf Tournament.
- Provide administrative support to the Parish Convocation Team and maintain communication with Chair of Convocation Team.
- Other administrative duties as needed
Qualifications
- High school diploma or equivalent required.
- Minimum of 5 years of administrative or secretarial experience required.
- Experience supporting clergy, leadership teams, or volunteers preferred.
Skills & Competencies
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and confidential information.
- Excellent written and verbal communication skills, including professional correspondence with parishioners and staff.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning parish software systems (e.g., ParishSoft).
- Experience creating, editing, and formatting publications such as bulletins, schedules, and reports preferred.
- Ability to work independently while also functioning effectively as part of a parish team.
- Strong interpersonal skills and a welcoming, pastoral presence when interacting with parishioners.
Ministry & Parish Knowledge
- Familiarity with Catholic parish life, liturgical seasons, sacraments, and ministry structure required.
- Understanding of sacramental preparation processes (especially weddings) and the importance of confidentiality.
- Willingness to support parish liturgies, seasonal ministries, and special events as needed.

- Professional, discreet, and respectful demeanor.
- Flexible and adaptable to the needs of a busy parish environment.
- Availability to work occasional evenings or weekends for parish events, meetings, or liturgical seasons as needed.
Employment Details
- Status: Part-time
- Schedule: Monday–Friday, 9:00 a.m. – 2:00 p.m. and occasional evenings/weekends as needed.
- Salary: $20 per hour
